Essential Qualifications:
- Proven experience as operations director or similar position
- Experience in volunteering locally and/or internationally
- Experience in recruiting through various channels
- Working knowledge of databases and MS Office (especially Excel)
- Able to communicate effectively with a diverse range of stakeholders
- Excellent organizational and team coordination abilities
- A pleasant, outgoing personality
- BSc/BA in business administration, human resources, social studies or relevant field will be appreciated
- Refugee experience
- International experience
- Excellent communication skills
- Fluent in English

SB Overseas is a non-profit, non-governmental organisation based in Brussels, Belgium. Founded in 2013, SB Overseas provides direct and urgent humanitarian aid to civilians in conflict zones in refugee camps in neighbouring countries. The main goal of a Volunteer Coordinator is to ensure our organization has enough volunteers to fulfill its service mission. To meet that goal, He/She must perform a variety of duties involving recruitment, training and program planning.
The position of Volunteer Coordinator is responsible for selecting, training, and supervising the volunteer staff of our organization. Volunteer Coordinator typically is responsible for high-level activities and spends a lot of time working independently and making her/his own decisions.
A Volunteer Coordinator must also be able to communicate effectively with volunteers, paid staff members and donors.
Volunteer Coordinator is responsible for the recruitment, selection, on-boarding, and return of volunteers destined for the training centres in Lebanon, as well as sourcing volunteers for SB HQ, (SB Espoir) in Brussels.
Volunteer Coordinator will be responsible for motivating volunteers by implementing promotional awards and incentive schemes. He /she will also be handling volunteering budgets and acting as a liaison between volunteer teams and external agencies, local authorities, corporate sponsors and other relevant partners.
Primary Tasks:
- Forecast numbers of volunteer needed for Lebanon centres.
- Sourcing volunteers for SB HQ, SB Espoir in Brussels
- Coordinate continuous recruitment advertising via social media, companies and platform.
- Acknowledge receipt of volunteer applications
- Maintain database of CV’s and cover letters of interested candidates
- Evaluate CV’s and cover letters and prepare short lists for review
- Prepare standard questions for short listed candidates
- Coordinate video interviews for short listed candidates
- Conduct interviews of prospective volunteers
- Prepare prioritized list of candidates with interview notes for approval by chairperson
- Selection of successful candidates, including possible reserve candidates
- Notification of successful candidates (and reserve candidates)
- Notification of unsuccessful applicants
- For Lebanon: Coordinate the arrival/departure of volunteers (essential documentation, arrival between 1-5 of the month and departure between 25-30 of the month, etc.)
- For Brussels: Coordinate the volunteer contract signature and facilitate contact with Team Leader SB Espoir as applicable
- Exploring funding options (sponsors, partnerships, etc.) for volunteer programmes
- Exploring new platforms.
- Disseminate information for upcoming actions and events.
- Keep detailed records of volunteer information and assignments.
- Ensure the purpose of the organization and its actions is clearly communicated.
Secondary Tasks:
- Point of contact for Team Leader Weekly Reports from Lebanon
- Point of contact for volunteer teacher extension requests
- Point of contact for end-of-tour volunteer teachers’ feedback
- Point of contact for evaluations of volunteer teachers from Lebanon
- Arrange for appropriate training when needed
- Attending conferences and events
