Requirements
- Interest in People Development, educational sciences (more broadly: social sciences), HR Management, Administration
- Knowledge of Learning & Development is an added value
- French and English fluent in speaking and writing
- Good communication skills: both writing and speaking
- Strong IT capacities with MS package + other tools used
- Ability to work autonomously, ask for support when needed and provide regular feedback
- Ability to understand the organization quickly
- Subscribe to the MSF charter and behavioral commitments
- Flexibility in terms of work load. Additional tasks might be requested to support colleagues in our department

- We do need to make an agreement between you, the university and MSF (Universities should be able to provide this, as it is a standard convention)
- This internship with MSF is unpaid, no remuneration will be provided.
- MSF does take charge of your local transportation cost (Bus, train, tram, metro) and you can benefit from the onsite canteen for lunch

Description
Proposed internship topic
You will be part of the Learning Support circle that is part of the People Development Hub whose purpose is: "Strengthening MSF's capacity to operate in various situations, by attracting/recruiting potential and new talents and by empowering individuals' motivation, sense of belonging, professional autonomy and mobility through the access to an efficient development process and opportunities". The Learning Support Circle functions in close collaboration with the Learning Solutions Circle.
As key partner contributor in the individual development cycle of MSF field staff (Internationally mobile and Locally hired staff), the learning support services circle organizes the deployment of all learning opportunities for field and HQ staff which aim at narrowing the gap between MSF staff expected competencies and their real skills for their present and future positions, all along their career in MSF.
The Learning Support Officer plays a key role by providing administrative and logistical support to those involved in learning activities as well as facilitating the access to those learning solutions. The activities listed below show specifically how he/she contributes to the mission of the People Development Hub
The intern will be asked to support with:
Management of all the training administration for participants before / during / after the training sessions
- Responsible that the application process of all learning events happens in a transparent, qualitative, timely manner.
- Send invitations to participants
- Manage Travel bookings of participants by being in close contact with our internal Travel Agency
- Optimizes the travel expenses following the MSF OCB Policy on Environmentally Responsible Travel
- Follow-up Schengen visa: provide participants with the necessary documents
- Book hotels
- Calculate and distribute Per Diem to participants based on their contractual status.
- Manages the participants lists for all training
- Organize the selection committees
- Reflect on administrative procedures in place and update them when needed
Act as focal point language Learning request.
- Provide info and guidance to staff on language Learning opportunities
- Support with the deployment of the language learning Strategy
- Monitor the learners and support them in finding the best language learning opportunity
Facilitate the access to learning solutions for all staff
- Ensure regular communication on learning offer
- Update the training calendar
- Update and maintains the L&D SharePoint page
Support learning events with technical facilitation in Zoom or Teams.
Internship Mentor – application details
The internship mentor will ensure that the intern is sufficiently informed, briefed and supervised during his/her internship. Key aspects of this mentoring relationship are:
- Mutual Agreement at the start: How will we have a good relationship? What do we want to achieve? What are we both looking for? What is the atmosphere we wish to create? What to do when things do not go as agreed/expected?
- Mutual feedback: Provide regular feedback on our objectives, priorities, work methods and relationship.
- Support in terms of specific tasks, providing the framework and provide a mutual beneficial experience.
