- Working towards a degree in a relevant field: office management/executive assistant/business/HR
- Mandatory excellent command of French and English, both written and spoken
- Excellent IT skills, strong knowledge of MS Office (Outlook, Teams, OneDrive, SharePoint, Word, Excel,)

Description
The Pool Managers team of MSF-Belgium (Operational Centre Brussels - OCB) is looking for an Administrative Support intern.
The role of the Pool Manager (PM) contributes in achieving of project/mission objectives, by ensuring an as best calibrated and adequate HR answer towards the field HR demand. In doing so, the function, further contributes to the development of the human capital of the IMS HR pools. The PM strategically analyses the possible available offer and the characteristics of the pool and compares it regularly towards known, as well as uknown/emerging, field HR needs.
The 14-person team that works in a very busy rhythm, that follows the HR evolution in the projects, needs to engage in a set of administrative tasks. The administrative support will facilitate therefore to optimise the time of the pool managers and will substantially contribute in ensuring that missions and projects are effectively staffed.
Further the administrative support will focus in organising the biweekly team meeting and will keep follow the organisation of the files in the PM TEAMS channel
More specifically the administrative support will focus in the following tasks :
- Creating a file in WEDOO for new employees coming from non-OCB partner sections and follows up to be completed
- Maintain a complete employee file with documents provided by the PM (consent papers and medical aptitude certificates)
- Archiving of staff evaluations
- Upon request update personnel files (ie make the scaling of IMS, updating previous experiences etc)
- Mapping the presence of the most relevant files for each Mission (ICP, welcome package, contact list) and identifying what is missed or too old.
- sending out the agenda for the biweekly team meeting
- Keeping notes and updating the rolling minutes of the meetings document
- Maintain the ‘order’ in the TEAMS channel for the PMs
CONDITIONS
- Starting date: September 2023
- Location: Brussels
- Duration: 4 to 6 months internship contract - Full time
- Contract type: Unpaid – internship agreement with school is a requirement
- Reimbursement (100%) of public transport costs in case of travels to the office
