- Higher education diploma in the field of HR and/or Finance is a strong asset
- 2 years of experience in a similar position
- Experience in an NGO is an asset

Description
Within MSF OCB (Operational Centrer Brussels), the Learning Support Circle is part of the People Development Hub whose purpose is: "Strengthening MSF's capacity to operate in various situations, by attracting/recruiting potential and new talents and by empowering individuals' motivation, sense of belonging, professional autonomy and mobility through the access to an efficient development process and opportunities". The Learning Support Circle functions in close collaboration with the Learning Solutions Circle.
As key partner contributor in the individual development cycle of MSF field staff (Internationally mobile and locally hired staff), the learning support services circle organizes the deployment of all learning opportunities for field and HQ staff which aim at narrowing the gap between MSF staff expected competencies and their real skills for their present and future positions, all along their career at MSF.
The Learning & Development (LnD) Support Administrator plays a key role by providing administrative and logistical support to those involved in learning activities as well as facilitating the access to those learning solutions. The activities listed below show specifically how he/she contributes to the mission of the People Development Hub.
RESPONSIBILITIES
As LnD Support Administrator, s/he will be the main focal point for the administrative and logistics follow-up of learning initiatives organized by MSF. S/he will orient the learner towards to most appropriate learning solution.
Daily tasks involve:
- Management of all the training administration for participants before / during / after the training sessions
- Send invitations to participants
- Manage travel bookings of participants by being in close contact with our internal Travel Agency
- Follow up Schengen visa: provide participants with the necessary documents
- Follow up invoices and contracts
- Encode expenses notes
- Book hotels
- Manage the participants lists for all training
- Organize the selection committee
- Reflect on administrative procedures in place and update them when needed
- Act as a focal point for all HQ trainings
- Carry out the annual skills needs assessment in collaboration with the People Development Hub Coordinator
- Develop the course catalogue and collect feedback from employees after a training course and provide administrative support
- Act as focal point for all learning related questions for Field Staff
- Ensure a perfect understanding of the internal MSF Learning offer and can link it to the Career path for field staff
- Provide info and guidance to staff on all MSF learning opportunities
- Coordinate from A-Z the Scholarships and External trainings requests
- Coordinate and improve the access for all staff to the certified higher education programs
- Other activities:
- Facilitate the access to the learning offer for all staff.
- Ensure regular communication on the learning offer
- Develop and update the Course catalogue and the Intranet for the L&D unit
- Facilitate the support & follow-up of e-Learning projects
- Ensure the technical facilitation to identified learning events
- Facilitate and/or participate in LnD projects
- Participate to LnD team meeting and others as needed
CONDITIONS
- Expected starting date: As soon as possible
- Location*: Brussels (Belgium)
- Contract type: Fixed term contract (Replacement contract)
- Contract duration: 12 months, extendable
- Time allocation: Full-time
- Salary according to MSF-OCB HQ grid – Meal Vouchers – Hospital Insurance (DKV) – Pension Plan – 100% reimbursement for public transportation costs
