Principal Responsibilities:Financial Administration:
Preparing and tracking of payments with all relevant supporting documents Preparing of invoices and/or payment request as needed Ensuring all data entries for WCS EU have been completed for the month in the general ledger Ensuring that all accounting documents are kept up to date, orderly and readily available for reference and audit, when required. If necessary, assist in handling audits e.g. submitting supporting documents as requested by auditors. Preparing of monthly financial reports to be submitted to the WCS headquarters in New York Producing budget reports as needed Financial reporting and tracking related to funded projects Assistance with the preparation of expense claims for WCS Europe colleagues based in France and Germany Working with the external accountants on quarterly VAT reimbursements Initiating and working with the external accountants on the annual accounts for submission to the Belgian authoritiesOther Administration:
Acting as primary contact point and responding to paperwork relating to the payroll office, other external service providers and Belgian authorities Responsible for all administration relating to WCS EU as a legal entity, including preparation and follow up to WCS EU Board and General Assembly meetings Acting as primary contact point for liaison with IUCN regarding the administration of the office Maintaining and updating our list of contacts Assisting on an ‘ad hoc’ basis with additional ‘one-off’ activities, such as events and visits to the office from colleagues Other administrative tasks as needed to ensure the smooth functioning of the WCS EU officeJob Qualifications:

WCS EU is looking for a part-time Finance and Administration Officer to undertake all financial administration and reporting, and administration related to the management of the WCS EU office.WCS EU is a Belgian NGO affiliated to the Wildlife Conservation Society (WCS). WCS EU engages with EU institutions on policy and funding initiatives in support of WCS field programmes. WCS is an American non-profit organisation founded in 1895, working in more than 60 countries with the mission to preserve wildlife and wild places by understanding critical problems, developing scientific solutions and taking conservation actions that benefit nature and humanity.Position Title: Finance and Administration OfficerReports to: Director, EU Strategic Relations, WCS EULocation: WCS EU Brussels office (when COVID restrictions are lifted)Job Type: Part time (40%) 15.2 hours / 2 days a weekPosition Objective: The Finance and Administration Officer will be responsible for all book-keeping and financial administration and reporting for WCS EU, under the supervision of the Director, EU Strategic Relations. He/she will also be responsible for administration relating to the management of the WCS EU office. The post-holder will be required to work closely with other WCS EU staff, as well as the WCS Finance and Grants Management teams, based at the WCS headquarters in New York.
