General context of the project

INTERSOS is a humanitarian organization operating in major global emergencies. The Finance Department serves as a core pillar for programmatic activities, supporting, monitoring, and analyzing the key economic and financial sustainability factors of the Organization. The selected candidate will play a central role in these strategic efforts.

General purpose of the position

The International Finance Coordinator supports the mission’s financial reporting process within the organization. Collaborates with the finance department to ensure effective foreign accounting financial reporting and alignment with all financial regulations and procedures.

Collaborates with the Finance Controller – International and the Archive & docs Officer to ensure process consistency.

Delivers training on the use of the accounting system to the finance staff.

Main responsibilities and tasks:

Accounting & Financial Statements

  • Ensure the regular technical update and synchronization of foreign accounting in the accounting software on a monthly basis.

  • Lead and coordinate the preparation of consolidated financial statements relating to projects and missions, ensuring completion by the second quarter of the following year.

  • Collaborate with the Finance Director on HQ audit activities, acting as a technical point of contact to respond to queries from external auditors.

  • Liaise and work in coordination with various teams to perform financial analysis and draft intermediate reports summarizing foreign accounting data.

  • Analyze and conduct studies to evaluate financial actions, recommending adjustments to accounting processes, and providing technical advice and improvements.

  • Support and facilitate the alignment of financial processes and accounting system rules across departments (HQ and Region), providing technical guidance to the INTERSOS Regional Team on system usage.

Accounting System

In collaboration with the software developer:

  • Review, refine, and support the implementation of procedures aimed at streamlining the accounting system.

  • Assess and identify gaps between department requirements and the accounting system, defining functional and workable solutions to bridge them.

  • Evaluate and report on the performance of the accounting system.

  • Design, organize, and deliver training on the accounting system for both financial and non-financial staff.

  • Collaborate with the Finance Director in designing and developing new processes and tools to track and analyze accounting data from missions.

Foreign Financial Statements

  • Ensure the technical drafting of foreign financial statements and manage relevant requests concerning financial reporting matters.

  • Provide technical support to the Missions regarding accounting requests received from external auditing firms.

  • Identify and propose methods and workflows to streamline the preparation and presentation of foreign financial statements.

  • Work in close coordination with the Archive & Docs Officer to support the quality of the electronic archive and verify the consistency of accounting data with the main archived official documents.

General conditions and benefits:

  • Accommodation: Accommodation is not applicable

  • R&R: Rest and Recuperation (R&R) is not applicable.

  • Annual Leave: 2.5 days per month

  • Medical insurance for the staff

  • Transportation and visa: Round-trip flights. For missions lasting at least 9 months, an additional flight ticket to the Country of residence and return to the mission will also be provided.

  • Induction: one week of online induction before the deployment 


Profile

Required profile and experience:

  • Technical diploma in Accounting and/or a University Degree in Economics and Business (or equivalent qualification).

  • 3 to 5 years of experience in a similar or relevant role.

  • Previous experience in the non-profit sector and knowledge of relevant Third Sector legislation is highly desirable.

  • Accounting & Bookkeeping: Strong knowledge of general accounting principles and double-entry bookkeeping.

  • Project Reporting: Proven experience in financial reporting for projects and grants funded by both public and private entities.

  • Administrative Documentation: Proficiency in managing administrative and accounting documents, including invoices, payments, bank statements, bank guarantees (fideiussioni), and insurance policies.

  • HR & Payroll Administration: Experience in handling payroll and HR-related documentation (pay slips, LUL, INPS, INAIL compliance, letters of appointment, and timesheets).

  • IT & Office Skills: Excellent command of Microsoft Excel and the MS Office suite.

  • Digital Platforms: Familiarity with online reporting portals and platforms.

  • Cloud Tools: Proficiency in using cloud-based shared storage and collaboration tools (e.g., Google Drive, OneDrive, SharePoint).

  • Good command of English is required; knowledge of French is considered a strong asset.

  • Strong interpersonal and communication skills, with the ability to collaborate effectively with both internal and external stakeholders.
